Administration jobs are those jobs which offer support to an organization. This support may embody general workplace management which extends to answering phone calls or speaking to clients and solving their problems. It may further be clerical work of record keeping and entering data. Moreover, the administration is also accountable for assisting its employers in the best possible way. An administrator has different day to day activities to work upon. Another responsibility they have is to schedule appointments and organize company events. Hence they work as front desk receptionist too. However, their duties are much more than that of a receptionist. They take memos during meetings.

Administration Jobs v/s Receptionist

Unlike receptionists who simply file records and documents by copying, the administrative assistants draft routine memos. They also edit company’s correspondence and maintain billing. These are tasks that should be done with great precision and accuracy. Generally receptionists are the face of an organization. They are the front liners because they meet visitors and clients at first. Whereas the administrative assistant is not really the organization’s first personnel even when they could be the ones receiving people for the organization. An administrative assistant has varied jobs like medical administration is different from legal administration, whereas receptionist job remains the same. Nevertheless, both of these positions require people with great communication and organizational skills.

Administrative Roles

Administrative jobs are highly popular in the United States. It can be ranked as the sixth most searched job category. They can be further divided so that the ideal candidate could be selected for one of the duty that an administrative assistant performs. We have already discussed the roles of an administrative assistant and a receptionist. Then comes the office assistant whose job is that of writing emails, handling phone calls, filing etc. Basically they make the office run as smoothly as possible. An office assistant and administrative assistant are job titles that can be used interchangeably. An office assistant needs to be able to perform tasks independently and must be proficient with word and spreadsheets processes. It should be someone able to perform multitasking.

Various Administrative Jobs

Data clerks specialize in organizing and storing information for the corporate. They are usually seen working on the computer as they enter data on it. They are responsible for the company’s paper documentation. Data clerks should have a keen eye for detail. They must be very good with computers and need to be organized people. Sometimes the administration needs office managers who work with the department dealing with day to day operations maintaining record of the purchasing. The office manager is beneath executives like administrators and C-level officers. An ideal office manager should have excellent communication, leadership qualities and problem solving skills. The candidate should be able to work under pressure. The executive assistants are higher up in organizational hierarchy than administrative assistants. They provide support and work for the upper management. They work independently in the fast paced environment with minimum supervision.
